Webinars

Create, schedule, publish, operate, and review a webinar from registration through post-event reporting.

Webinars has the broadest Sites lifecycle. A webinar can include event details, page design, schedule, provider connections, sessions, registrations, attendees, activity, automations, analytics, AI reporting, and payment configuration.

Create the event

Open Sites → Webinars and choose New webinar. Define a clear title, audience, description, host, timezone, duration, delivery format, and capacity. Decide whether the event is free or paid before building registration messaging.

Connect providers

Use Webinars → Settings → Connections for supported meeting or delivery providers and Payment Accounts for supported paid-event configuration. Finish provider onboarding and verify account status before publishing. A returned onboarding link or connection record is not proof that charges, payouts, or webinar delivery are enabled.

Configure schedule and sessions

Open the webinar’s Schedule and Sessions views. Confirm event timezone, host timezone, attendee display, start and end times, recurrence, joining rules, and cutoff behavior. Test daylight-saving boundaries when the event is scheduled far ahead or across regions.

Design and publish

Use Edit and Preview to configure the registration page and event details. Test registration, confirmation, calendar information, reminder content, join link, cancellation, and any payment path. Open Published to verify the live version.

Registrations and attendees

  • Registrations shows sign-ups and their event context.
  • Attendees tracks participation-related records exposed by the provider.
  • Activity gives an operational timeline.

Define how duplicates, cancellations, no-shows, guests, refunds, and manual registrations are handled. Do not assume provider attendance and Spacebrain registration totals use identical identity rules.

Automations

Use the webinar’s Automations view for supported reminders or follow-up. Test timing, timezone, sender, variables, opt-outs, duplicate registration, rescheduling, and cancellation. Keep critical host instructions outside an attendee marketing sequence.

Event-day runbook

  1. Verify provider health and host access.
  2. Confirm the published join path with a test attendee.
  3. Export or prepare an authorized backup attendance list if needed.
  4. Assign host, moderator, support, and incident roles.
  5. Monitor registration, access issues, and provider status.
  6. Record any manual change and its effective time.

Post-event review

Use Analytics for event measures and AI Report where enabled for assisted analysis. Validate summaries against provider evidence and event context. Review registrations, attendance, engagement, delivery, support issues, follow-up completion, refunds, and the downstream business outcome separately.
