Client setup kits
Preview and install the service business starter kit in a client workspace, upgrade to version 2, and finish a setup that stopped partway.
A client setup kit gives a new client workspace a ready-made starting point in one click: an enquiry funnel, an agreement template, a follow-up workflow, a sales pipeline, and a payment report. You preview everything first, and nothing goes live until you review it. This guide is for agencies onboarding service businesses such as consultants, clinics, trades, and studios.
Before you begin
- Create the client workspace in Agency → Sub-accounts. See sub-accounts and client connections.
- The client must be Active (not suspended) and have one workspace.
- The client's plan must include the modules the kit uses, such as Funnels and Agreements. If it doesn't, the kit tells you what's missing before you install.
- You need to be the agency owner. Your account may also need extra sign-in verification turned on.
What's in the kit
The Service business starter kit creates five editable items in the client's workspace:
| Item | Where it goes | What it does |
|---|---|---|
| Service enquiry funnel | Sites → Funnels | An offer page, enquiry form, and confirmation step. Stays unpublished. |
| Service agreement template | Agreements | Scope, deliverables, pricing, and dates for you to fill in. |
| Appointment-to-agreement-and-payment workflow | Automations | Sends the agreement and payment steps after a booking. Stays inactive. |
| Sales pipeline | CRM → Pipelines | Stages for tracking enquiries to paid work. The client's current default pipeline doesn't change. |
| Payment report | Reports | Net cash collected from confirmed payments, for the last 30 days by default. |
Version 1 of the kit had the first three items. Version 2 adds the pipeline and the report.
The kit doesn't copy contacts, invoices, payments, passwords, or connected accounts. Those stay with each client.
Where to find it
Open Agency → Sub-accounts, select Manage on the client, then select the Setup tab.
Preview and install the kit
- Open the client's Setup tab. You'll see Service business starter kit with its version, for example Version 2.
- Check the Destination box. It shows the client name and workspace the kit will go into.
- Read the list. The status line says Preview your client setup and a count such as 0 of 5 ready. Each item shows the module it uses.
- If anything is listed in red under the items, fix it first. These are requirements, such as a module the client's plan doesn't include.
- Select Create client setup.
What you should see: each item changes to Ready. The status says Your client setup is ready and 5 of 5 ready.
Everything is created as editable configuration. Pages stay unpublished and workflows stay inactive until you turn them on.
Finish setup before the client goes live
Below the kit, Before this client goes live lists what's left:
- Identity, Client policies, and Client domain show whether your agency name, color, privacy and terms links, and domain are set.
- A numbered checklist lists steps to finish in the client workspace, such as connecting a booking calendar, sender, and payment provider, and filling in the agreement template.
Use Review agency settings, Client connections, and Agency billing readiness to jump to the right place. Then select Open client workspace and:
- Open the funnel, update the text and images, and publish it.
- Fill in the agreement template and activate it.
- Check the workflow's steps and recipients, then turn it on.
- Rename the pipeline stages if needed.
- Submit a test enquiry and follow it all the way to the report.
Installing the kit doesn't check connected accounts. Test them yourself.
Upgrade a client from version 1 to version 2
If a client already has the three version 1 items, the Setup tab offers the upgrade:
- Read the message: Add a sales pipeline and payment report. Your three existing kit items and client edits stay in place.
- Select Add pipeline and report.
Only the two new items are added. Changes you or the client made to the first three items are kept.
Recover a setup that stopped partway
If the connection drops or something fails during install, the kit saves what it finished.
- Open the client's Setup tab. The status says Continue from your saved progress.
- Read which item it stopped at, for example "Setup stopped at Service agreement template." The item says Stopped here. Retry will resume with this item.
- Fix the cause if one is shown.
- Select Retry remaining items.
Retry only creates what's missing. Items already created, and any edits to them, are kept. You'll never get duplicates.
If Spacebrain couldn't confirm what happened, you'll see We could not confirm the installation status. Check the saved results before continuing. Select Check installation first, then retry if needed.
When an item needs review
If someone deleted, moved, or changed a kit item in a way the kit can't safely reuse, it shows Needs review and the status says An installed item needs review.
- Select Open client workspace and look at the item named in the message.
- Restore or fix it in the client's workspace.
- Come back and select Check installation.
The kit never overwrites or replaces the client's items to fix this.
Worked example: onboarding a physiotherapy clinic
An agency adds a new clinic as a client and installs the kit from Setup. The Wi-Fi drops halfway, and the tab shows Continue from your saved progress with 2 of 5 items ready. They select Retry remaining items and the last three are added. In the clinic's workspace, they change the funnel to "Book an assessment", add the clinic's treatment prices to the agreement, connect the clinic's calendar and payments, and activate the workflow. A test booking reaches the pipeline, and the test payment shows in the report.
If something goes wrong
| What you see | What to do |
|---|---|
| Preview unavailable. or We could not load the setup preview. | Select Check installation. If it continues, check the client is active. |
| Red requirements under the item list | Fix each one, such as upgrading the client's plan to include Agreements or Funnels, then Check installation. |
| Setup stopped before finishing. | Review the saved results and select Retry remaining items. |
| An installed item needs review | Fix the named item in the client workspace, then Check installation. |
| Create client setup is greyed out | There are unresolved requirements, or an install is already running. |
FAQ
Will the kit publish anything or send messages?
No. Pages stay unpublished and workflows stay inactive until you turn them on.
Can I install the kit twice?
No need. Running it again only adds missing items and never duplicates existing ones.
Does upgrading to version 2 change my client's edits?
No. The upgrade only adds the pipeline and report.
Does the kit connect the client's calendar or payments?
No. Connect those in the client's workspace, then test them.
