Orbit memory
Teach Orbit your preferences, save reusable pages and procedures, choose who can see them, and check when answers use saved memory.
Orbit memory is where you keep what Orbit should know every time you ask it something: how you like answers written, what you're focused on, and reusable business knowledge and step-by-step procedures. This guide is for anyone who wants Orbit's answers to fit their business better.
There are three kinds of memory:

Before you begin
- Role: anyone can read the memory they have access to. To create or edit pages, procedures and notes, you need the Editor, Admin or Owner role.
- Sub-accounts: the memory management page isn't linked from Orbit in agency sub-accounts.
- Credits: writing, editing and searching memory yourself uses no AI credits. Asking Orbit to draft a page does use credits, and the page shows the cost before you start.
- Don't save passwords, card numbers or other secrets in memory.
See what Orbit remembers
- Open the Orbit panel and select the Memory view.
- Read What Orbit remembers. Each item is labeled Preference or Fact.
These are saved from your conversations and used to tailor Orbit's answers to you. If the list is empty, you see Nothing saved yet. Tell Orbit "remember that…" in a chat and it will appear here.
Save something from a chat
In any Orbit chat, start a message with "remember that", for example:
- "Remember that I prefer answers as a short table."
- "Remember that this quarter I'm focused on renewals."
Open the Memory view to check it was saved.
Open the memory page
From the Memory view, select Manage memory and procedures. This opens the Orbit memory page, which you can also reach from AI Copilot → Knowledge → Pages & procedures.
At the top of the page, choose what to work with:
- Pages or Procedures to see saved items of that kind.
- Personal notes to manage your own notes.
- Search saved memory to find an item by name. Select Archived to include archived items.
- Recover a draft to reopen a draft Orbit was preparing if you left the page.
Manage personal notes
- On the Orbit memory page, select Personal notes.
- Under Note type, choose Response preference (how Orbit should answer) or Standing priority (what you're focused on).
- Type the note in New note and select Save note.
You can keep up to 10 notes of up to 140 characters each. Select Edit to change a note or Forget to delete it. Orbit treats notes as guidance about you, not as checked business facts.
Create a page
- On the Orbit memory page, select Pages, then New page.
- Enter a Title.
- Write the content in Page content. You can use Markdown for headings and lists.
- Select Save page.
What you should see: Saved. No AI credits used. The page is listed with Only you and a version number, such as Only you · v1.
New pages are private. To let teammates use a page, open it and select Share with workspace. Each teammate still needs access to any sources the page is based on.
Draft a page with Orbit
If AI drafting is turned on for your workspace, select Draft with Orbit on the Orbit memory page. If you see AI drafting is awaiting activation. Manual pages are ready to use., write the page yourself instead.
- Under What should Orbit prepare?, describe the page you want.
- Add Your source notes and use Find source documents to choose up to 10 documents from your Knowledge sources. Orbit reads only what you select.
- Check the credit cost shown on the page, then select Draft for review.
- Read the Proposed page · not saved. If you're updating an existing page, select Compare with saved version to see what changed.
- Select Save reviewed page, or Discard draft.
Work with a saved page
Open a page to see these views: Preview, Edit, Sources and History.
- Sources lists what the page was built from. A page shows Sources current · wording unverified while its sources are unchanged, or Sources changed — historical reference only when a source has changed since. To update it, select Refresh from current sources.
- History lists earlier versions. Select Restore as new version to bring one back without losing the current version.
- Export Markdown downloads the page as a text file.
- Archive hides the page from normal lists. Unarchive brings it back.
- Make private stops sharing it with the workspace.
- Forget page deletes the page's saved text and copies made from it. Your original source documents stay where they are.
Create a procedure
A procedure is a short, repeatable plan. For example, "Create a follow-up task" asks for a task title and an assignee each time you run it.
- On the Orbit memory page, select Procedures, then New procedure.
- Enter a Title.
- Under Add a native action, choose a step from Choose an action…. The current options are Review a lead, Create a follow-up task and Review a saved email draft. Add more steps if you need them, or select Remove to drop one.
- Check the inputs the procedure will ask for, such as Task title and Assignee name.
- Describe what "done" looks like in Success criteria.
- Select Save procedure.
Run a procedure
- Open the saved procedure. Under Prepare a run, fill in each input.
- Select Prepare work plan.
- Select Review and continue work plan to open the plan in Orbit, then approve its steps as usual.
Each run asks for fresh inputs. Details from an earlier run are never copied into the next one. To run it again with different inputs, select Prepare another run.
How saved memory appears in answers
When Orbit uses a saved page, procedure or note, the answer's Sources list includes it, labeled Saved memory. Select it to open the item. If an answer relies on memory that looks wrong or old, fix or refresh the page and ask again.
If something goes wrong

FAQ
Is my memory shared with my team?
No, not unless you choose Share with workspace on a page or procedure. Personal notes are always private.
Does saving memory use credits?
Saving, editing and searching memory yourself uses no AI credits. Drafting with Orbit uses credits, and the cost is shown before you start.
What's the difference between memory and the Knowledge hub?
The Knowledge hub holds source documents that AI agents and Orbit can search. Memory pages are shorter notes and procedures you write or approve, often based on those documents.
Can I undo "Forget page"?
No. Forgetting erases the page's saved text. Export it first with Export Markdown if you might need it again.
