Navigation and workspaces

Find your way around the Spacebrain sidebar on desktop and mobile, search with ⌘K, and switch or add workspaces without changing the wrong one.

This guide shows you how Spacebrain's navigation is laid out, how to find any page quickly, and how to switch between workspaces safely. It's for everyone, especially people who work in more than one workspace or manage clients.

Before you begin

  • What you see in the sidebar depends on your role, your plan and which add-ons are installed. Two people in the same workspace can see different menus.
  • A workspace is a separate account for one business or team. Its contacts, settings, credits and billing are kept apart from your other workspaces.

The sidebar on a computer

The sidebar on the left has four areas.

Top:

  • The workspace switcher, showing the current workspace's name and logo.
  • Ask Spacebrain (or Find in Spacebrain): search for pages and records, or ask Orbit. Shortcut: ⌘K on Mac or Ctrl+K on Windows.
  • The notifications bell.
  • Collapse sidebar, to shrink the sidebar to icons. Select Expand sidebar to open it again.

Main list:

  • Home, Reports and Tasks at the top.
  • ENGAGE: modules for reaching customers, such as CRM, Inbox, AI Copilot, Chat & Voice, Email, Calendar, Social Media, Sites, Reputation and SEO.
  • OPERATE: modules for running the business, such as Automations, Payments, Memberships, Agreements, Integrations, Add-ons and Affiliate.

Select a module with several pages to see its own list. For example, CRM shows Dashboard, Notes, People, Companies, Deals, Leads, Pipelines, Lead Scoring and more, grouped under headings such as Records and Lists. Select the back arrow to return to the main list. Headings are just labels. They don't change what you can access.

Pinned below the list: Agency, for agency owners who manage client sub-accounts.

Footer:

  • Credits: your balance. Select it to open Settings → Billing.
  • Settings: opens General settings. Other settings pages, such as Orbit AI, Workspace, Billing and Usage, are listed there.
  • The language switcher, the light and dark mode switch, and Logout.

Help is the round Orbit button in the bottom-right corner of the screen. It opens Help & support. See Orbit AI settings.

  1. Tap the menu button (Open navigation) at the top left. The header also shows your credit balance.
  2. The menu shows the workspace switcher, then every module. Tap a module to expand its pages.
  3. Agency and Settings are near the bottom, with Logout and the theme switch.

The menu closes when you choose a page.

Find anything fast

  1. Press ⌘K or Ctrl+K, or select Ask Spacebrain at the top of the sidebar.
  2. Start typing, for example "calendar" or a lead's name.
  3. Choose a page or record from the list. To ask Orbit instead, choose the Ask Spacebrain result.

Results follow your workspace permissions, so you only see what you can open.

Some pages save their filters in the web address, such as an Inbox channel or a Tasks view. You can bookmark these. A copied link doesn't give anyone else access. They still need the right role in that workspace.

Switch workspaces

  1. Save anything you're editing.
  2. Select the workspace switcher at the top of the sidebar.
  3. Type in Search workspaces... if you have many, and select the workspace.
  4. Check the message Switched to [name] and the name at the top of the sidebar.
  5. Reopen the page you need.

Treat a switch like changing bank accounts. Before you import, send, delete or change a connection, check the workspace name again.

Old browser tabs can be in the wrong workspace

A tab you opened before switching may still show the previous workspace. Refresh or close old tabs before you do anything important.

Add a workspace

  1. Open the workspace switcher and select Add Workspace.
  2. In Create new workspace, enter the Workspace name and, if you like, a Description and Logo (optional).
  3. Select Create workspace.

What you should see: Workspace created successfully, and Spacebrain switches you to the new workspace. How many workspaces you can own depends on your plan. See workspace, billing and usage.

Accept an invitation

If someone invites you to their workspace, the switcher shows a red number. Open the switcher and select Pending Invitations to review and accept the invitation. You can also use the link in the invitation email.

Why a module may be missing

  • Your role doesn't include it. Ask an admin to check your permissions.
  • Your plan doesn't include it, or it's an add-on that isn't installed.
  • It's still being rolled out to workspaces.
  • A setup step or connection is missing.
  • You're in the agency workspace when the feature belongs to a client sub-account, or the other way round.

FAQ

Can I move data between workspaces?

Workspaces are kept separate on purpose. Export and import records, or ask support about your options.

What's the difference between a workspace and a sub-account?

A workspace is any separate Spacebrain account. A sub-account is a client workspace that an agency manages. See sub-accounts and client connections.

Where are Preferences and AI Copilot settings?

Preferences are now part of Settings → General. AI Copilot has its own section in the sidebar.
