Workspace, billing, and usage

Manage workspace details and members, choose a plan, add credits, set a spend limit, read invoices, and see where credits are used.

This guide covers the three shared settings pages for your workspace: Workspace (name, members and permissions), Billing (plan, credits, payment methods and invoices) and Usage (where credits go). It's for workspace owners and admins, and anyone who needs to understand what Spacebrain costs to run.

Before you begin

  • Roles: only admins and owners can edit workspace settings, invite people and change permissions. Only the owner can transfer or delete the workspace.
  • Check the workspace: every change here applies to the workspace shown in the workspace switcher at the top of the sidebar. Switch first if you manage more than one.
  • Credits belong to the owner. If you're viewing someone else's workspace, Usage shows Credit balances reflect the workspace owner's account.
  • Agency sub-accounts: billing may be managed by your agency. Ask the agency before you change a plan.

Workspace settings

Open Settings → Workspace. The page shows Workspace settings with four tabs: General, Members, Invitations and Permissions.

  1. On the General tab, update Workspace Name and, if you like, Description.
  2. To add a logo, select Upload image. Use a JPEG, PNG, WebP or GIF image.
  3. Select Save Changes.

Invite a teammate

  1. Open the Invitations tab and start an invitation. The dialog is called Invite Team Member.
  2. Enter their Email Address.
  3. Choose a role:
    • Admin: can manage members and settings.
    • Editor: can edit workspace content.
    • Viewer: can view workspace content.
  4. Select Send Invitation.

What you should see: they appear under Pending Invitations until they accept. Use Resend invitation or Delete invitation if needed. You can also start from Invite Member on the Members tab.

To make someone the owner, add them as a member first, then use Transfer Ownership from their menu on the Members tab.

Change a role or remove someone

On the Members tab, open the menu next to a person and choose Change to Admin, Change to Editor, Change to Viewer or Remove Member. Before you remove someone, reassign their open work, such as deals, tasks and conversations.

Fine-tune permissions

The Permissions tab lets admins and the owner control access with Permission groups. Select Add starter groups for a quick start or New group to build your own. Effective access shows what each person can actually do. The owner always has full access. For role details, see roles and permissions.

Leave or delete a workspace

At the bottom of the General tab, Danger Zone shows:

  • Leave Workspace if you're a member. You'll lose access until someone invites you again.
  • Delete Workspace if you're the owner. This permanently deletes all its data.

Your default workspace can't be deleted on its own. It's deleted only when you delete your account.

Billing

Open Settings → Billing, or select the Credits card at the bottom of the sidebar. The page has five tabs: Overview, Account Analytics, Plans, Payment Methods and Invoices.

Compare and change plans

  1. Open the Plans tab.
  2. Choose Monthly or Yearly billing.
  3. Compare each plan's AI credits / mo, Workspaces and Users. Select See what's included for the full list, or Compare all features for a side-by-side table.
  4. Select Upgrade to [plan] or Downgrade to [plan] and follow the steps.

The Plans tab always shows the current limits and prices for your account, so check it before you decide. Enterprise replaces the older Scale plan.

What you should see: an upgrade usually starts straight away, and your current credits and settings stay as they are. A downgrade or cancellation is scheduled for the end of the billing period, and the Overview shows a banner such as Switching to [plan] on [date] with an Undo button.

Add credits and control spending

On the Overview tab of a paid plan, find Credits and controls:

  • Top Up Credits: choose how many Credits to purchase, choose a saved card or Add new card, and confirm the purchase.
  • Monthly spend limit: set a Monthly limit (credits), choose when to be warned in Notify at, and turn on Hard stop at limit if work should pause at the limit. Select Save spend limit.

The subscription card on Overview shows Total Available Credits, split into types such as Welcome Credits, Trial Credits, Rollover and Purchased. On the Free plan, select View plans to get a renewing credit pool and top-ups.

To use a promo code, enter it in Redeem Code and select Redeem.

Payment methods and invoices

  • Payment Methods: select Add payment method, Set as default or Remove. A paid plan needs a saved card for renewals. To remove cards, downgrade to Free first and keep the card until the current paid period ends.
  • Invoices: Invoice History lists each invoice with its Status. Select Download for a copy.

Cancel a subscription

  1. On Overview, select Cancel Subscription (or Cancel Trial).
  2. Tell us what's prompting the change. We may show options, such as a lower-cost plan or a pause.
  3. Select Continue cancellation, then Confirm cancellation.

Your plan stays active until the date shown. To change your mind, select Undo on the banner.

Usage

Open Settings → Usage to see Usage Analytics for the current billing period.

  1. Use Date Range (Last 7 days to All time) and Granularity (Daily, Weekly or Monthly) to set the view.
  2. On Overview, check Credits Used, Usage Over Time and Usage by Type to see which features use the most credits.
  3. Open Credit history to see each credit movement. Filter by Type, such as Usage, Purchase or Refund. Balance After shows your balance after each one.

Overage means events that went past your plan's included amount, such as free emails or enrichments. Overage is paid from your credit balance.

What uses credits

Voice calls, AI features, enrichment, email sending and some provider work use credits. Orbit AI uses credits too. Orbit shows an estimate before you send a message and a live total while it works. Some charges appear a little later, after the provider finishes processing.

Worked example: find out why credits dropped

  1. Open Settings → Usage and set Date Range to Last 7 days and Granularity to Daily.
  2. In Usage Over Time, find the day with the spike.
  3. In Usage by Type, see which feature caused it, such as voice minutes or AI.
  4. Open Credit history and filter by Usage to see the individual charges.
  5. Go to that module to find the cause, such as an automation that ran more often than expected. Pause it there if needed.
  6. In Settings → Billing, set a Monthly spend limit so it can't happen unnoticed again.

FAQ

Is this where I bill my own customers?

No. This page is about what you pay Spacebrain. To bill your customers, use Payments, Agreements or Memberships.

Do credits carry over?

It depends on the credit type and plan. The subscription card shows a separate Rollover amount when you have one.

Can I have more than one workspace?

Yes. Select the workspace switcher at the top of the sidebar and choose Add Workspace. The number of workspaces you can own depends on your plan. See navigation and workspaces.
