Keep connections healthy

Test, monitor, rename, reconnect, hand over, and disconnect provider connections without breaking the automations that depend on them.

A connection to another app needs looking after. Passwords change, people leave, and providers withdraw access. This guide shows you how to check that a connection still works, fix it when it stops, and remove it safely. It's for workspace owners and admins who manage integrations.

Before you begin

  • You need the Admin or Owner role to test, reconnect, rename, or disconnect a connection. Other roles can view status only.
  • Know which features use the connection, for example an email sender, an automation, a webinar, or a payment checkout.
  • Have access to the provider account. Reconnecting means signing in to it again.

Check connection health

  1. Go to Integrations → Overview. The Connection health section lists anything that could stop data or messages from moving.
  2. Select Refresh connection health if you just fixed something.
  3. For the full list, go to Integrations → Connections. Use the status filter to show Needs attention only.

Each connection shows one of these statuses:

Inside a provider's own page you may also see Pending, Expired, Revoked, or Error. Expired and Revoked both mean you need to reconnect.

Test a connection

A green status tells you Spacebrain has access. It doesn't prove the job you care about works. Test both.

  1. In Integrations → Connections, select the connection.
  2. Select Test connection. You'll see one of these results:
    • Connection test passed. Access works.
    • Reconnect this provider to restore access. Sign in again (see below).
    • The provider could not verify this connection. Check the provider account, then test again.
    • The provider skipped this check. Connection not verified. This provider can't be tested this way. Test the feature instead.
  3. Test the real task in the module that uses the connection. For example, send and reply to an email, join a test meeting, or run a test checkout.

What you should see: under Operational details, Last connected shows a recent time and Last error is empty or older than your fix. Connection activity lists recent events. Use Search events or error codes to find a specific one.

Some connections also offer a Sync button named after the data it fetches. It pulls one batch of data straight away. It's useful after a fix, but it doesn't replace a real test.

Rename a connection

Give each connection a name that says which account it is, such as "Sales mailbox" or "Main Facebook Page". This makes the right one easy to pick later.

  1. Open the app from Integrations → Browse apps.
  2. Next to the display name, select Rename.
  3. Enter a name up to 100 characters and select Save name.

Reconnect

Reconnect when a connection shows Needs attention, Expired, or Revoked, or after the provider account's password or permissions change.

  1. Open the connection and select Reconnect. For most providers a new window opens (see how connecting works).
  2. Sign in as the same provider account, or the account that should own it from now on.
  3. Approve every permission the provider asks for. Skipping one can leave the connection only partly working.
  4. If the provider asks you to choose a Page, mailbox, number, or calendar, pick the same one as before.
  5. Select Test connection, then test the real task.
  6. Check anything that failed while the connection was broken, such as automation runs or scheduled messages, before you retry it. Some may have finished anyway.

Don't disconnect to fix a broken connection

Reconnect in place instead. Disconnecting can remove settings that automations, senders, and forms rely on.

Hand a connection to someone else

When the person who connected an account leaves or changes role, move the connection to an account your organization controls.

  1. List everything that uses the connection.
  2. Pick a quiet time.
  3. Reconnect with the new owner's provider account, or connect the replacement account.
  4. Test sending and receiving (or whatever the connection does).
  5. Update senders, destinations, or settings that pointed at the old account.
  6. Watch for failures for a day.
  7. Remove the old person's access at the provider.

Removing someone from Spacebrain does not move their provider sign-in to anyone else.

Disconnect

Before you disconnect, check:

  • Automations, sequences, campaigns, forms, pages, webinars, social schedules, and reports that use it.
  • Anything scheduled or in progress.
  • Whether you still need the history. Data already in Spacebrain usually stays.

Then:

  1. Open the connection and select Disconnect.
  2. Read the confirmation. For catalog apps it warns that the connection and any webhooks it created are removed.
  3. Confirm.
  4. At the provider, remove Spacebrain's access too if you no longer use it. Disconnecting in Spacebrain and revoking access at the provider are separate steps.

Messages already sent, posts already published, and events already created stay at the provider.

Report a connection problem

Include the workspace, provider, connection name, the time it last worked (with time zone), the status text, and the error shown under Connection activity. Never include passwords, codes, tokens, or the web address from the provider's return page.

FAQ

How often should I test connections?

Test after any change to the provider account, after reconnecting, and before a big send, launch, or event.

Will disconnecting delete my contacts or messages?

No. Records and history already in Spacebrain stay. New syncing and sending through that connection stop.
